Monitoring Deliveries
After submitting your release, you’ll want to track its progress to streaming platforms. This guide shows you how to monitor deliveries and what to do if issues arise.
Where to Check Delivery Status
Section titled “Where to Check Delivery Status”From Your Releases List
Section titled “From Your Releases List”- Go to Catalogue > My Releases.
- Look at the status column for each release.
- Click a release to see detailed delivery information.
From the Distribution Page
Section titled “From the Distribution Page”For a comprehensive view of all deliveries:
- Go to Distribution from the main menu
- Click the Distribution All tab
- View all pending and recent deliveries across all releases
Understanding delivery status
Section titled “Understanding delivery status”LabelGrid shows two kinds of status: one for the release as a whole, and one for each store it goes to.
Release status
Section titled “Release status”The Status column in Catalogue > My Releases gives each release one status. Hover it, or select the ? next to it, to read what it means.
| Status | What it means |
|---|---|
| Ready to submit | Every check passed. You can submit the release now. |
| Fixes needed | Some checks didn’t pass yet. Fix them and the release is ready to submit. |
| Changes needed | Your reviewer asked for changes. Open the release to see what to update. |
| Rejected | Your reviewer turned down this submission. Open the release to read why. |
| Awaiting your confirmation | We need you to confirm something before the release can go out. |
| In review | We’re checking the release. There’s nothing for you to do right now. |
| Distributing | The release is approved and on its way to the stores. |
| Partially delivered | The release reached some stores but not the others yet. |
| Live | The release has been delivered to the stores. |
| Takedown in progress | You asked for a takedown and it’s still being carried out. |
| Taken down | The release has been taken down from the stores. |
Store status
Section titled “Store status”Open a release and select the Delivery tab to see every store it’s going to. Each row has a Status tag.
| Status | What it means |
|---|---|
| Complete | The store accepted the delivery. If the Operation column says Takedown, the takedown went through. |
| Imported | LabelGrid counts this delivery as already done, the same as Complete. |
| Processing, Transcoding, Batched, Batched Init, Batched Processing | The delivery is being prepared and sent to the store right now. |
| Pending Review, Scheduled, Ok To Send, Ready To Batch | The delivery is lined up and hasn’t started yet. |
| On Hold, Paused, Awaiting License | The delivery is on hold and won’t move on by itself. |
| Delayed | The delivery is taking longer than usual. We’re looking into it and will contact you if we need anything from you. Hover the tag to read more. |
| Not Approved | The release wasn’t approved for delivery to this store. This comes from LabelGrid, not the store: for example, the release was rejected in review, distribution is locked on your account, or the release has no front cover artwork. Check your release page for review feedback, or contact support. |
| Skipped | LabelGrid didn’t send the release to this store. Hover the tag to read why. |
| Ineligible | This store doesn’t accept the release. |
| Cancelled | This delivery was stopped before it went out, often because a newer delivery or takedown for the same store replaced it. It shows in italics with a line through it. Hover the tag to read why. |
On older deliveries you might also see Delivered, Live or Ready in the store list. These mean the same as Complete.
Understanding skipped and ineligible
Section titled “Understanding skipped and ineligible”Skipped and Ineligible are final. LabelGrid doesn’t retry them on its own. The one exception: deliveries skipped because your subscription lapsed pick up again once your subscription is active.
- Ineligible: that store doesn’t accept this release. The reason can be the genre, the language, or the AI usage not being supported by that store.
- Skipped: LabelGrid didn’t send this delivery. Reasons include a store restriction (for example genre), a store you haven’t opted into, a missing UPC, a takedown on the release, or a paused or lapsed subscription. Hover the Skipped tag to read the reason.
The Delivery Timeline
Section titled “The Delivery Timeline”Understanding typical timelines helps set expectations.
After Approval
Section titled “After Approval”Hour 0 → ApprovedHours 1-24 → Sent to each storeDays 1-3 → Most stores show CompleteDays 2+ → Major platforms go liveDays 5-14 → Specialist platforms go livePlatform-Specific Timelines
Section titled “Platform-Specific Timelines”| Platform | Typical platform processing time |
|---|---|
| Spotify | Up to 5 business days |
| Apple Music | 1-3 business days |
| Amazon Music | Within 24 hours (per Amazon) |
| YouTube Music | Up to 48 hours (per YouTube) |
| TikTok | A few days |
| Instagram/Facebook | Up to 2 weeks |
| Deezer | 2-5 business days |
| TIDAL | No published window |
| Beatport | 3-7 business days |
| SoundCloud | 1-3 business days |
On YouTube Music, the artist’s Topic channel can take longer than this to link up.
For Deezer, the 2-5 business days count from LabelGrid’s delivery. Deezer’s own guidance of about 2 weeks counts from when you submit, so submit at least 2 weeks ahead.
Viewing detailed delivery information
Section titled “Viewing detailed delivery information”To see delivery details for a release:
- Go to Catalogue > My Releases.
- Click on your release.
- Select the Delivery tab.

| Territory | The country the store covers, or Worldwide |

Select View queue on a row to open that store’s deliveries for this release in the distribution queue, or View distribution queue at the top to see all of them.
Delivery Notifications
Section titled “Delivery Notifications”Stay informed without constantly checking the dashboard.
Email Notifications
Section titled “Email Notifications”LabelGrid emails you when:
- Your release passes review and is scheduled for distribution
- Your release needs changes before it can be distributed
- Your release is rejected
- A direct upload to SoundCloud, YouTube or Bandcamp completes or fails, or one of those accounts needs reconnecting
There’s no email when a store accepts a delivery or when your release goes live. Check the Delivery tab for that.
Configuring Notifications
Section titled “Configuring Notifications”- Open the avatar menu in the top-right and click My Account.
- In the side menu, click Notifications.
- In the Email Preferences card, choose whether to receive tips on how to use LabelGrid and LabelGrid news and feature updates, or select Unsubscribe from all emails.
- Click Submit.
When Something’s Wrong
Section titled “When Something’s Wrong”Sometimes deliveries don’t go as planned. Here’s how to identify and address issues.
Red Flags to Watch For
Section titled “Red Flags to Watch For”| Symptom | Possible Cause |
|---|---|
| A store shows Delayed | We’re already looking into the delivery |
| A store stuck on On Hold for days | The delivery needs a check from our team |
| A store shows Not Approved | The release wasn’t approved for delivery. Check your release page for review feedback |
| Some stores Complete, others not | Platform-specific requirements |
| Past release date, still not live | Processing delay or error |
Common Delivery Errors
Section titled “Common Delivery Errors”The Delivery tab doesn’t show a store’s own error message. When a delivery runs into a problem, that store’s status shows Delayed (or Not Approved if the release wasn’t approved for delivery). Hover over a Delayed tag and you’ll see that we’re looking into it and will contact you if we need anything from you. The causes below are the usual ones, so you know what we might ask you to change.
Duplicate Content
Section titled “Duplicate Content”What it means: The platform believes this content already exists.
Possible causes:
- Same ISRC used for a different track
- Release was previously distributed by another distributor
- Platform confusion with similar content
How to fix:
- Check if the content is actually already on the platform
- If it’s from another distributor, request a transfer
- Contact support if neither applies
Invalid Metadata
Section titled “Invalid Metadata”What it means: Something in your release information doesn’t meet platform requirements.
Possible causes:
- Special characters not supported
- Field exceeds character limit
- Required field missing or malformed
How to fix:
- Wait for us to tell you which field needs changing, or contact support to ask
- Check that field for formatting issues
- Update and resubmit
Technical Error
Section titled “Technical Error”What it means: A temporary technical issue occurred.
Possible causes:
- Platform API issue
- Network problem during delivery
- Temporary service disruption
What to do:
- Wait 24-48 hours - often resolves automatically
- If persists, contact support
Content Policy Rejection
Section titled “Content Policy Rejection”What it means: The platform flagged potential policy issues.
Possible causes:
- Copyright concern
- Content guideline violation
- Artwork compliance issue
How to fix:
- Contact support to find out what the store flagged
- Ensure you have rights to all content
- Check artwork against platform guidelines
- Tell support if you believe the store got it wrong
Troubleshooting Common Situations
Section titled “Troubleshooting Common Situations”My release is live on some platforms but not others
Section titled “My release is live on some platforms but not others”This is normal. Different platforms process at different speeds.
When to be concerned:
- If it’s been more than 7 days for major platforms
- If it’s been more than 14 days for any platform
What to do:
- Check the specific platform’s status in your dashboard
- Look for any store showing Delayed, and hover over the tag for details
- If nothing shows Delayed and it’s just slow, wait a few more days
- Contact support if still missing after expected timeframe
My release date passed but it’s not live
Section titled “My release date passed but it’s not live”Check these things:
- Approval status - Was the release approved before the date?
- Delivery status - Does each store show Complete on the Delivery tab?
- Platform processing - Some platforms are slower
- Time zones - Releases typically go live at midnight in each territory
If every store shows Complete but the release isn’t live yet:
- Platforms may be processing
- Wait 24-48 hours after release date
- Check by searching on the platform directly
I need to fix something on a delivered release
Section titled “I need to fix something on a delivered release”What you can change:
- Minor metadata corrections (titles, credits)
- Adding outlets that weren’t originally selected
What requires a new release:
- Changing audio files
- Significantly changing artwork
- Adding/removing tracks
How to make corrections:
- Contact support with the specific changes needed
- Some changes can be made without pulling the release
- Larger changes may require takedown and resubmission
One store is stuck while others are fine
Section titled “One store is stuck while others are fine”Platform-specific issues:
- Check that store’s status on the Delivery tab
- That platform may have stricter requirements
- The content may already exist on that specific platform
Resolution:
- Give it until the end of that platform’s usual processing time
- Contact support and name the store. We can redeliver to just that store.
Delivery to each store runs and is re-queued independently, so a temporary problem on one store is fixed by redelivering to only that store. A redelivery requires a prior successful delivery to that store.
Monitoring Best Practices
Section titled “Monitoring Best Practices”Daily Checks (During Delivery)
Section titled “Daily Checks (During Delivery)”- Check overall release status
- Review any error notifications
- Note which platforms have delivered
After Going Live
Section titled “After Going Live”- Verify the release is searchable on major platforms
- Check that all tracks appear correctly
- Confirm artwork displays properly
- Test links work correctly
What to Document
Section titled “What to Document”If you need to contact support, have this ready:
- Release title and catalog number
- Which platforms have issues
- The status each affected store shows (for example Delayed)
- Screenshots of the delivery status
Using the distribution queue
Section titled “Using the distribution queue”The distribution queue shows deliveries and takedowns, one row per job. When you open it from a release, it’s filtered to that release. Select Clear All to show every release.
Opening it
Section titled “Opening it”- Open your release.
- Select the Delivery tab.
- Select View distribution queue, or View queue on a single store’s row. The queue opens filtered to this release.
What it shows
Section titled “What it shows”Each row shows a Type tag (for example TAKEDOWN or NEW RELEASE), the store under Destination, the release, its Label, its Created and Updated times, and its Status. The statuses are the same as on the Delivery tab.
This is useful when:
- Checking when a delivery last changed
- Seeing whether a store has more than one delivery for the same release
- Providing information to support
Expediting Deliveries
Section titled “Expediting Deliveries”Can Deliveries Be Rushed?
Section titled “Can Deliveries Be Rushed?”Generally, no. Delivery times depend on:
- Platform processing speeds (outside LabelGrid’s control)
- Queue positions
- Technical processing requirements
What You Can Control
Section titled “What You Can Control”- Submit early - The most reliable way to ensure timely delivery
- Clean metadata - Reduces processing delays
- Proper formats - Avoids rejection and resubmission
If You’re in a Bind
Section titled “If You’re in a Bind”Contact support if you have:
- A genuine emergency (news-related release, etc.)
- A delayed delivery with no explanation
- An error you can’t resolve
Support may be able to:
- Investigate specific platform issues
- Prioritize redelivery attempts
- Provide estimated resolution times
